Policies & Permission for Use of Photos, Field Notes, Correspondence & Other Archival Materials

The MVZ Archives are accessible to visitors by appointment. Please contact mvzarchives@berkeley.edu to make an appointment or to request duplication of materials. Visitors to the MVZ Archives must read and sign a copy of our Visitor Use Policy before they start working in the collection. All users must fill out a Permission Use Form which will help us determine any needed fees. Personal cameras may be used in the MVZ Archives under certain conditions (see Camera Use Policy). Limited staff handles all reproduction requests and orders may take up to a month or more to be fulfilled. Rush orders may be accommodated and additional costs may apply. We are happy to discuss our fees to meet your needs.

Photographs, field notebook pages, correspondence, and other archival materials may not be reproduced, distributed, publicly displayed or otherwise used, in whole or in part, without written permission from the MVZ.

These materials may be reprinted and distributed for academic and other uses with express written permission. No materials may be used for financial gain or resale.

When permission is given, materials may be used, downloaded, reproduced, publicly displayed, distributed or reprinted by persons affiliated with academic and/or non-profit organizations for scientific and scholarly purposes only. Use of MVZ archival materials on personal or academic web sites must be authorized by the Museum. All uses must provide proper attribution as follows: “With permission of The Museum of Vertebrate Zoology, University of California, Berkeley.” Permission is given for ONE TIME USE only.

Duplication Services

Reproduction of MVZ archival material is dependent on the condition of the requested material. Reproductions used for scholarly purposes or reference use should be discussed with the MVZ Archive managers. All reproductions used for commercial purposes must be licensed by the MVZ Archives. We request that one copy of all published works making use of archival material be submitted to the Archives at the time of publication.

Fee Structures

Textual Reproductions

  • Document scanning: The first five pages are free. All subsequent pages will be charged at the rate of $2 per page. Please use the Request for Reproductions Form (PDF) to request document scans. Visitors who wish to scan materials must first receive authorization, and can send scans to their personal email address.

Image Scanning Fees (does not include licensing fees)

  • Image scans: $30 per image. Permission to copy an image or text does not constitute permission to publish materials.

High-Resolution TIFF Licensing

  • Non-profit organization/Academic Press: $50 for non-exclusive, one time, one language, one format use per image. Non-profit use refers to any individual, government agency, or organization able to demonstrate not-for-profit status.
  • Others: $175 for non-exclusive, one time, one language, one format use per image. (Other uses, formats, and fees to be negotiated.)

JPEG Licensing

  • Non-profit organization/Academic Press: $25 for non-exclusive, one time, one language, one format use per image. Non-profit use refers to any individual, government agency, or organization able to demonstrate not-for-profit status.
  • Others: $50 for non-exclusive, one time, one language, one format use per image. (Other uses, formats, and fees to be negotiated.)

Uncompressed WAV File Licensing

  • Non-profit organization/Academic Press: $50 for non-exclusive, one time, one language, one format use per audio file. Non-profit use refers to any individual, government agency, or organization able to demonstrate not-for-profit status.
  • $175 for non-exclusive, one time, one language, one format use per audio file. (Other uses, formats, and fees to be negotiated.)

MP3 Licensing

  • Non-profit organization/Academic Press: $25 for non-exclusive, one time, one language, one format use per audio file. Non-profit use refers to any individual, government agency, or organization able to demonstrate not-for-profit status.
  • Others: $50 for non-exclusive, one time, one language, one format use per audio file. (Other uses, formats, and fees to be negotiated.)
